MilSim.io is operated by Artemis Digital Solutions Ltd (we, us, our). It is a platform that enables gaming communities to manage membership, rankings, events, and related community functionality.

2. Information We Collect
When you create an account, we may collect your username, first and last name, email address, authentication-provider identifiers, and community-specific usernames or aliases.

MilSim.io supports login through Discord, Steam, Google, and Microsoft (restricted to internal developer access). We may receive an account identifier, username or display name, and email address where available. We do not receive your password from these services.
Users may create community profiles that include community-specific aliases, rank or role, community-voting data, and participation information.
Subscription payments are processed by Stripe. MilSim.io does not store full payment-card details, but may store a Stripe customer ID, subscription status, community subscription metadata, and billing email address.

To maintain security and functionality, we collect certain technical and usage information. Geolocation data is approximate and derived using IP geolocation services.

3. Cookies
MilSim.io uses a limited number of cookies necessary for platform operation. Authentication cookies allow users to remain signed in and securely access their account.
We use a vote-protection cookie that stores a community identifier and timestamp to help prevent multiple votes within a defined 24-hour window.
MilSim.io does not currently use advertising cookies or tracking cookies for marketing purposes.
4. How We Use Your Information
We process personal data to provide and maintain MilSim.io, authenticate users, enable community features, prevent abuse, process payments and subscriptions, maintain security, investigate misuse, and monitor system performance and reliability.
Processing is carried out where necessary for the performance of a contract, compliance with legal obligations, and our legitimate interests in operating and securing the platform.
5. Data Storage and Infrastructure
MilSim.io infrastructure is hosted using Hetzner. Data may be stored or processed in Nuremberg and Falkenstein, Germany, and Helsinki, Finland. These locations are within the European Economic Area.
6. Email Communications
Transactional emails, including account notifications and platform communications, are delivered through Mailgun. Mailgun may process the email address, email content, and delivery metadata required to deliver messages.
7. Logging and Security Monitoring
MilSim.io logs system and request data to detect abuse, monitor performance, investigate incidents, and maintain platform stability. Logged information may include IP address, approximate geographic region, user identifier, request payload metadata, accessed endpoints, and request timestamps. Logs are used strictly for operational and security purposes.
8. Data Retention
We retain personal data only for as long as necessary to operate the service and satisfy legal, accounting, and security obligations.
Account data is retained while the account remains active; system logs are retained for operational monitoring and security; and billing records are retained as required for financial and tax compliance. Users may request deletion of their account and associated personal data, subject to legal retention obligations.
9. Your Rights
Under UK GDPR and EU GDPR, you may request access to, correction of, deletion of, or restriction on the processing of your personal data; object to certain processing; and request portability where applicable.

10. Data Sharing
We do not sell personal data. We may share personal data with service providers where necessary to operate the platform, including Hetzner for hosting, Stripe for payments, Mailgun for email delivery, and Discord, Steam, Google, and Microsoft where selected for authentication. These providers process data only as required to provide their services.
11. Security
We take reasonable technical and organisational measures to protect personal data, including secure authentication systems, encrypted network communications, controlled infrastructure access, and monitoring and logging of suspicious activity. No internet-based service can be guaranteed completely secure, but we work to reduce risk and protect the data we process.
12. Children’s Privacy
MilSim.io is intended for use by gaming communities. Users should be at least 13 years old, or meet the minimum age required in their jurisdiction to use online services.
